Mobile HRMS: Native Apps vs. Web Apps

Native apps and browser-based HRMS can both offer a variety of advantages; employees can request leave, view schedules, access directories, view e‑payslips and their own records from anywhere, but what's best for workers - a web-based app, a native one, or a hybrid approach?

What's the difference?

Put simply, a mobile app is a piece of software designed to be run on a mobile device. A native app is 'native' to a particular brand or device; i.e. it's written for and runs on iOS, but a different version has to be written for it to run on Android, and so on.

Conversely, a web app is accessed via a web portal using standard browsing software, with no separate install required.

A hybrid app sits in between: it's a native app shell, installed and distributed the same way as a native app, wrapped around code built with standard web technologies. That shell gives it access to native device features without the cost of a full rewrite for every platform.

Native apps are still by far the most common and the type we are all more familiar with in our daily lives: the many applications available through the Apple App Store or Google Play, all designed to run on a specific device operating system.

For obvious reasons, smartphone and tablet manufacturers are keen on software designed just for them. But when we factor in the current workplace tide of BYOD, which leads to a wide variety of brands and models in use, and all by people who need to access the same functionality, a web HRMS app that just needs a simple browser to function begins to look much more attractive.

Many major HR platforms (Workday, SAP SuccessFactors, ADP, etc.) have native mobile apps, but many newer cloud/SaaS HR vendors focus on responsive web or hybrid solutions instead, since these cost less to build across platforms.

For example, developers can use hybrid frameworks (like React Native or Ionic) to share a single codebase across iOS and Android, cutting development time and costs. They then wrap that code in a native container so it can still access device features (camera, GPS, notifications) and be distributed via app stores. This approach achieves performance and user experience similar to native at lower cost.

Convergent app evolution

The line between web and native apps is blurring. Modern web technologies (including Progressive Web Apps, or PWAs) can provide offline use and push notifications, almost like native apps.

PWAs run in a browser but can be installed on the home screen, work offline, and even use hardware features (camera, Bluetooth, etc.). Native apps, in turn, often load content from the web and rely on internet services. Ultimately, the difference is architectural: native apps are compiled for an OS, while web apps run on any browser.

Until hybrid solutions fully mature, one way to think of it is like clothing. 

  • Native apps are like tailor-made suits: they fit the device perfectly and usually run faster and smoother. 
  • Web apps are like off-the-rack outfits: they fit many occasions and require less tailoring. A web HRMS app supports any device with a browser, reaches more users immediately, and is cheaper and quicker to develop and update.

With a single codebase, updates go live for all users at once, without needing each user to download a new version. In contrast, hybrid apps are a middle-ground “smart casual” – built with common web tech but packaged natively – offering broad reach with a user experience close to native.

Many organizations today use a mix: a mobile-friendly web portal or PWA for general access, with native or hybrid apps for power users who need advanced features.

Other key considerations

Do you have workers who use the HRMS on a limited basis, such as during the performance review cycle or for basic self-service transactions? Infrequent users benefit from standardization, so a browser-based HRMS that looks and performs the same on a computer or mobile device will be a better fit in these cases.

Because native apps are built from the ground up, you may find that newer apps don’t have all transactions available or that less-used functionality, such as language capability, is not yet built. A browser-based HRMS offers advantages if you are using a high level of HRMS features around the globe, as you do not need to wait for something to make it onto the product roadmap.
